Job Description:

HR WORK:

Daily, Weekly and monthly monitoring of attendance of all
the employees in spine system and solving the employee’s
spine query on daily basis and training them and guide
them properly.

Monitoring the requirement of staff and maintaining the
manpower matrix as per approved by principle company
and discuss with Branch Head.

Contacting, Interviewing, short listing, and coordinating
with the concern HOD and Branch Head for manpower selection.

Doing the spine on boarding process of joining
formalities, and exit formalities, introduction to all staff,
Company Induction, training and development as per company processes on time.

Indentifying training needs, arranging trainings,
developing the entire employee team for quality manpower.

Maintaining employee wise welcome kit & exit Kit record with their job responsibilities.

Verification of residence and documents, of the new employees.

Coordination with the bank for opening new salary account for employees.

Coordinating with all the employees for understanding
the grievances and internal issues, redirecting the issues
to the concern HOD and solving the same with the help of Branch Head.

Updating HR calendar daily work, monthly report in HR
Solution software.

Arrange meetings as mentioned in HR Calendar with their
respective HOD and Branch Head

Every Saturday spine training programming for executives & ground level staff if required

Monitoring and maintaining overall employee satisfaction
& Monitoring the discipline behavior, of the employees, work environment, adherence to SOP’s, and reporting to concerned HOD and head HR.

Educate to employee about company policy and explain them in a positive way

Checking of salary at the salary period & Issuing notices,
inter office memo, late coming warning letters, and
preparing the documents such as experience letters,relieving letters, etc

Preparing Appointment letters of the new joinees and
give them within 15 days and confirmation letter after six month as discussed and approved by Branch head.

Preparation and Finalization of yearly budget for
employee requirement v/s existing employees, salary
structure, etc. and make provision for Gratuity, increment

Maintain organization chart and manpower matrix on
monthly basis.

Checking and maintaining records for loans and advances against the salaries.

Providing left employees details, salary deduction part and addition part after every 25th to spine

Coordinating, with Accounts for submission of PF, PT,
ESIC challan before 15th of every month & For MLWF challan i.e. every year of June & Dec

Evaluate the employees Performance for appraisal and promotions.

 

ADMIN WORK

Everyday in the morning check HR calendar and update
the daily work, fixed asset details, AMC”s etc. in HR solutions software.

Maintain and monitor monthly budget of water,
electricity, printing & stationery, Tea & Coffee, security & housekeeping etc

Record of employee’s discipline, uniformity, hygiene,
cleanliness; follow SOPs, rules and regulations relating to dress code as recommended by the company.

Daytoday monitoring and inspection of all the tools and
equipments in the premises, workability, repair
schedule, etc. and report to the maintenance incharge for repairs and maintenance

Educate to the employees “How to process” requisition,
cash voucher & grievances in spine software 

Checking Security, Housekeeping, manpower &
attendance and monitor their working and neat cleanliness.

Every day Monitor and maintain dealer facilities as mentioned in SSI.

Maintain Everyday printing & stationery, Housekeeping material register in excel format.

Processing and joining formalities for new employees,
such as Handing over Joining kit immediately and arranging tailor for uniforms, shoes requirement within 60 days

100% adherence to all the SOPs related to functioning.

Maintain stationary, and other related formats and
books as per the consumption and plan to start for digitalization.

Educate to employee regarding “Electricity Savings” and “Go Green”.

Comparing compulsory minimum 3 quotations for any
new purchase or repairing work with your “BATNA”(Best
Alternative to a Negotiated Agreement) and discuss with the Branch Head & immediate HOD for approval.

Preparation of Purchase order, for all the requirements
after coordinating with the concern HOD and Authorized person.

Scanning and preserving all the documents related to
the branch/premises, such as all the warranty cards,
guaranty cards, AMC documents, Invoice copies of all the
machines, tools, equipments, printers, PCs, ACs, Water cooler, Refrigerators, etc.

Arrangement of monthly meetings, events, camps,
yearly get together, picnic, tour, training programmes,festival celebration, etc. for all the staff.

Monitoring and reporting to the concern person/HODs
about adherence of SOPs by other employees in the premises.

Verification of bills related to all above purchases and work conducted.

Maintain and solve Legal compliances and inspections of the company.

Monitoring and maintaining overall employee satisfaction.

Monitoring the discipline behavior, of the employees,
work environment, adherence to SOP’s, and reporting to 
concerned HOD and Head Admin.

Maintain employee assets (uniform, shoes, car, mobile,
laptop, sim card etc) in spine system

 
2) Developing and Maintaining Relationship:
Developing and maintaining good relationship and rapport with all the employees.
Immediate resolution of issues/problems/breakdowns related to workshop & showrooms
equipments, tools & machineries etc, office requirement, employee complaints, dissatisfaction
and grievances for internal healthy work environment and harmony amongst the employees.
Conduct Half yearly performance and skill competition within the employees at branch level and
yearly competition on inter branch level.
Observe discipline, Follow flowchart and all the processes religiously.
Wishing and celebrating on Birthdays and Anniversaries of the employees.
Every Saturday celebrate happy Hours with employees between 4.00pm to 6.00pm.
Immediate resolution of Co-ordination with all the HOD for their requirement and accordingly
call for quotations, take approvals from the Branch Head, Make PO, supervise the work for
quality, Approve the bills, and co-ordinate for payments of vendors.

 

3) Adherence to SOP
Adherence to SOP will reflect in the following areas
Maintain cleanliness and Hygienic condition, healthy environment in the workplace.
Highest staff satisfaction in terms of workload and working environment by proper manpower
tilization.
Target Achievement of maximum employee retention @90%.
Target achievement in appointing quality manpower.
Accuracy in attendance, maintaining records, formalities, etc.
Target achievement in procurement of required stationary, machinery, tools and equipments.
Identifying new vendors / suppliers, for quality, price and delivery.
Daily, Weekly & Monthly reporting to HODs as per the format and requirement.
Monitor utilization of paper, carbon papers, stationary, water consumption, electricity paper,
consumption, other consumables used in the workshop processes such as cotton waste, oil
polish plastic covers, paints, thinners, etc.
To keep watch and note of employees involved in bad habits.

4) Others
Adherence to Company norms related to HR & Administration.
Arranging monthly review meetings with HODs, etc. for all concerns.
To maintain harmony within the department and co-ordination with other departments.
Taking approvals for purchases related to Admin, Bill checking, approvals etc Monitoring and
Optimize utilization of papers and stationery
To maintain self health and safety during working hours.
To adhere to company rules and regulations pertaining to Safety and Environment.
Make at least 2 success stories in a month for organization savings.
