Major Responsibilies:-

  • Maintains a balanced inventory consistent with the requirements of the service department, commercial & wholesale accounts. 
  • Assists in establishing pricing parameters in each customer category that generate sufficient gross profit to produce a satisfactory profit while maintaining customer loyalty. 
  • Establishes individual parts inventory levels and balances them for maximum turnover. 
  • Monitors and adjusts inventory to minimize obsolescence. 
  • Ensure that all returned or warranty parts are properly tagged so that the dealership recovers full credit from the factory.
  • Ensure Mechanics/technicians are adequately supplied with all parts and materials as needed.
  • Oversees Purchasing of supplies & materials for Service Department.
  • Analyzes sales, expenses, and inventory monthly to maintain profit goals. 
  • Administers a new aggressive wholesale & retail parts program to produce profit.

  • Ensures that the same high quality level of service provided to outside customers is also provided to internal dealership customers.
  • Works with the Workshop & Service Managers to ensure a timely turnaround of parts needed for internal jobs.
  • Assists in analyzing departmental operations and storage layout and revises as needed for maximum effectiveness.
  • Provides technical assistance to employees and customers.
  • Coordinates a prompt, efficient, and timely flow of paperwork.
  • Directs shipping and receiving efforts to ensure timely processing.
  • Assists in developing sales promotions.
  • Ensures that all dealership purchases are properly accounted for before payment is made.
  • Understands, keeps abreast of, and complies with federal, state, and local regulations that may affect Spare parts sales.
  • Maintains professional appearance.
  • Accepts other responsibilities as requested by the HOD/Reporting Manager or dealer principal
  • Seek out new parts business.
  • Enforces and monitors guidelines for working with customers to ensure maximum customer satisfaction.
  • Handles customer complaints immediately and according to the Company’s guidelines, forwards all concerns to the HOD/Reporting Manager.
  • Manage the entire gamut of spare parts operations from inventory control, pricing policy (in coordination with the management), and warehouse & personnel management .
  • Maximize profit through the effective operation of the Spare parts department. 
  • Provide excellent customer service support 
  • Ensure smooth logistics and minimize order to delivery lead time 
  • Prepare accurate forecasts to ensure maximum availability of stock.
  • Create market awareness of Genuine spare parts and brand building.
  • Conduct spare parts campaigns.
  • Train and follow up on the development of spare parts team 
  • Source competitive replacement spare parts .

Ordering of Spare Parts:

  • Entering spare parts orders on supplier web sites / ordering systems & Assists in the supervision of the stock order procedures. 
  • Conforms to policy on the special ordering of parts. 
  • Processing all delivery documentation on arrival.
  • Notifying manufacturers of any delivery discrepancies, seeking speedy resolution.
  • Booking any suspect or rejected stock in to quarantine locations.
  • Communicating status of orders to Customer Care Department.
  • Chasing suppliers for part queries, prices and delivery dates.
  • Managing the stock levels of parts (including superseded), where appropriate.
  • Manage and reduce the number of parts outstanding
  • Seek out new vendors, suppliers and manufactures and negotiate terms and pricing for greater profitability.
  • Appropriate management of returned spare parts.
  • Responsibility for perpetual inventory.
  • Identification of alternative sources of supply where necessary.
